Accounts Payable Specialist

Job description

Reporting to the Controller, the Accounts Payable Specialist will be responsible for account payables operations including reviewing and processing all invoices. Manage rent reports and cash disbursements for all locations and members of the company. Perform associated account reconciliations and maintain vendor files.


  • Review, process and post approved invoices received from all divisions and retail stores.
  • Review, process and post approved employee expense reports for members of the company.
  • Review, process and post approved petty cash reimbursements.
  • Process and post Frette Spa (All stores) and accompanying invoices for freight and duty for US customs.
  • Process and post inter-company invoices.
  • Enter and post any manual checks cut and apply all ACH payments to invoices.
  • Process and apply credits from all vendors and Frette Spa.
  • Seek and research any discounts offered by vendors.
  • Maintain a conscientious rapport with all vendors-US and International based companies.
  • Update vendor files, grids and any A/P related procedures, as necessary.
  • Maintain proper allocation of expenses to corresponding distribution accounts.
  • Analyze and maintain rent report and updated lease files for Frette locations and collect rent from some locations.
  • Coordinate with Controller regarding cash disbursements needs.
  • Provide reports (payables trial balance) to division/department managers upon request.
  • Serve as back-up for A/R in their absence.

Desired Skills and Experience

  • Bachelors in Business
  • 5+ years of experience in Supply Chain, Inventory Management or Planning in any industry (required). Individual must have a strong knowledge from start of production cycle to the distribution to end user.
  • Demonstrates logical analysis and problem solving skills
  • Flexible and adaptive to changing priorities
  • Able to organize and prioritize workload to meet deadlines
  • Proficient in Microsoft Excel required and Celerant, preferred
  • Ability to multi-task and work well with multiple and changing priorities in a high-pressure environment
  • Ability to work with little to no supervision
  • Ability to create solutions and workarounds for system limitations
